Every manual in your fleet, ready in minutes.
Simply drag and drop your vessel manuals. VesselManualsAI automatically extracts, structures and organizes the technical data, preparing it for seamless integration with your existing PMS or ERP.
Three steps. Months of work reduced to minutes.
Drag. Drop. Done. Your manuals become structured, PMS-ready data — without manual data entry or lengthy implementation projects.
Drag. Drop. That’s it
Drag and drop your vessel manuals into VesselManualsAI. Upload one or forty at once, assign them to a vessel, and let the platform take over.
Every page. Every detail. Captured
VesselManualsAI reads the entire manual — text, tables and technical drawings — and extracts the data that matters.
Ready for your PMS. In minutes.
Review the extracted data, make any adjustments you need, and export it in the format your existing PMS or ERP requires.
One manual. All the data you need.
Each one is an Excel file your technical department already knows how to read.
Equipment register
Machinery, systems, makers, models and technical specifications.
Spare parts
Part numbers, descriptions and source references, automatically structured.
Planned maintenance
Maintenance tasks, intervals, running hours and condition-based requirements.
Images and drawings
Technical drawings and images extracted, classified and linked to the relevant equipment.
Clearances and limits
Nominal values, tolerances, min/max values and wear limits by component.
Tightening torques
Torque values, hydraulic pressures and tightening requirements.
Alarm setpoints
Alarm, warning and shutdown values for pressures, temperatures and levels.
Lubricants
Lubricants, capacities, applications and change intervals.
Overhaul procedures
Procedures, special tools, precautions and source-page references.
Nothing is accepted until your engineer accepts it.
Every row the platform extracted is open. Expand it to see the maker's wording and the page it came from, correct a value that was read wrong, confirm the ones that are right, leave a note for whoever opens it next, or add a row the manual never spelled out. The export carries all of it.
| # | EQUIPMENT | MAINTENANCE JOB | INTERVAL | VALUE | PAGE |

Stop searching manuals. Start using their data.
VesselManualsAI turns hundreds of pages of technical documentation into structured, traceable data your technical department can review, export and integrate with its existing PMS or ERP. And what the crew learns stays on the page: notes, photos and videos are attached to the manual itself, so they sail with the vessel instead of leaving with the engineer.
The crew writes on the manual. The manual remembers.
Open any page and leave a note on it — a measurement, a deviation approved by the maker, a photo of what you found. Notes can also sit on a single data row, so they follow the job into the export. They stay with the vessel when the engineer signs off.
Compare vessels. Spot every difference.
VesselManualsAI compares manuals side by side and highlights the differences that matter — from equipment and specifications to maintenance intervals and limits.
The two manuals overlap on governor checks, turbocharger cleaning and lubricating-oil filter work, but their intervals and triggers often differ. Manual A is far more detailed on condition-based turbocharger troubleshooting. Manual B carries scheduled engine-core maintenance for cylinder heads, pistons, liners and bearings that is absent from A.
| ITEM | A — ENGINE-MANUAL | B — AUX-ENGINE-MANUAL | STATUS | NOTE |
|---|---|---|---|---|
| Turbine-side cleaning | Clean the turbine side during operation. :: 100–200 running hours | Wash the turbine under operation. :: 250 running hours | ⚠ Difference | Same task, different interval. B washes less often on an identical turbocharger. |
| Filter elements | If an inadmissibly high differential pressure is detected, clean all filter elements. :: Condition based | Clean the lubricating oil filter, then adjust pressure with the relief valve screw. :: When pressure is outside 0.4–0.5 MPa | ⚠ Difference | B has a system-specific pressure trigger, not the generic differential-pressure instruction. |
| Governor hydraulic fluid | Initially replace after 1 000 h, then every 3 000 h or 6 months. :: Running hours | — | Only in A | No governor fluid replacement requirement appears anywhere in Manual B. |
| Cylinder head bolt retightening | — | Retighten head bolts in firing order with the hydraulic tool. :: 12 000 running hours | Only in B | Scheduled engine-core maintenance that Manual A does not cover at all. |
| Lube oil cooler cleaning | Clean the cooler at every overhaul inspection. :: At overhaul | Clean the lubricating oil cooler at overhaul. :: At overhaul | Same | — |
The same part, ordered four times.
Maker part numbers are buried in the spare parts lists of every manual. VesselManualsAI pulls them all out and puts identical codes next to each other, across machines and across vessels. One filter can sit on four ships and eight machines — and be ordered separately by each of them, because nobody had read all four manuals.
Every vessel. Every manual. Always connected.
Every manual is assigned to the vessel and equipment it belongs to, keeping technical data organised across your entire fleet. Each ship on the map is coloured by how much of it is covered, so the gap is the first thing you see: the red one has no manuals in the system at all. Shared equipment can be linked across sister vessels — one manual, multiple vessels, no duplicate work. The platform also carries a Fleet Traffic page: where each vessel is right now, drawn from the AIS network, next to the manuals it sails with.

What Technical Managers Want to Know
How accurate is the extracted data?
What happens if VesselManualsAI is unsure about a value?
How long does it take to process a manual?
Can it read tables, drawings and scanned manuals?
Can I check where each value came from?
Will it work with our existing PMS or ERP?
Do we have to change our existing templates?
Can it handle different vessels and equipment makers?
Can we compare sister vessels?
Is our technical data secure?
Your manuals are on paper. We come to you.
We scan your manuals securely at your offices. No manual leaves your premises.
For many older vessels, essential technical manuals exist only as paper copies, stored in binders at the office. Some may be impossible to replace. We bring the scanning equipment to your premises and digitise them on site. No packing, no couriers, and no manuals leaving the building.
- Any format. Every page preserved. From A4 and A3 documents to bound volumes and fold-out drawings, we scan your manuals with care. Books are scanned face up, without breaking the spine or removing a single page.
- Searchable text, not just scanned pages A photograph captures what a page looks like. OCR makes its content searchable, selectable and ready for the VesselManualsAI platform to read and use.
- From paper to your platform Scanning is only the first step. Each manual is assigned to the correct vessel, its technical information is extracted, and the results become structured data in VesselManualsAI, ready to use alongside your digital manuals.
Bring one manual to the demo
We run it live on your own PDF and you keep the Excel that comes out, whether or not you go further. Thirty minutes, with your superintendent in the room.
